If you have previously Checked-out a version for editing, and you select the Draft/Checked-Out radio button, the latest draft version is displayed.
The status field will indicate the following:
- Checked-out date, time and user.
- The Ver. No field will display the full version number (Major. Minor. Draft).
- The Version field will show the word “Draft”
- The ID will show the internal ID for this draft version.
Note that when you Checkout & Create a Draft the Ver. No field is automatically incrementing i.e. (2.1.1 becomes 2.1.2).
Note that the following actions can be performed on the Draft/Checked-Out version:
- Save Draft Header - Saves the information entered in the Identifier, Listing and Effective Date fields.
- Undo Checkout & Delete Draft - Checks the document back in but does not save any changes you made since checking the document out.
- Validate SPL - Runs validation on the document.
- Check In - Checks the document back in and makes it the most current version. Additionally, the Ver. No is updated according to the user’s choice (Draft, Minor, Major Version).
Section Actions - Allows users to either move/re-order sections in the structure tree or Reset all Section GUIDs (Reset All Section GUIDs).
Create SPM Allows the user to perform the following:
- Preview SPM/ with Health Canada stylesheet
- Create SPM for Health Canada Submission
- Create SPM for Review
- The “Create SPM for Review” creates files for review only.
* Note, these files cannot be submitted.
- The “Create SPM for Review” creates files for review only.
Create Renditions - RTF
- The “RTF” option will convert the SPM content into RTF format. The RTF format in Desktops running Microsoft Window will convert to Microsoft Word. Therefore, the transformed content will open in Microsoft Word. The user can then save in “.doc” format.
When a version is checked out, the application will display in bold red letters who is currently checking out the document.
You can also see if a product is checked out by going to the products page, the “Lock” icon to the left of the product name will indicate if the product is check out.
